Terms, Privacy & Disclaimer

1. Disclaimer — not legal advice, not a law firm

StellarOS is a software product that helps individuals organize, prepare, and document their own immigration cases. StellarOS is not a law firm, is not a substitute for an attorney, and does not provide legal advice. Using StellarOS does not create an attorney-client relationship.

Evaluations, criterion scores, opportunity matches, RFE-risk assessments, drafted outreach, and any document drafts are general information generated by automated systems and may be incomplete, out of date, or inaccurate. They are not legal opinions and must not be relied on as such.

Immigration decisions carry serious, sometimes irreversible consequences. Always consult a licensed immigration attorney before filing any petition or relying on any information from StellarOS. StellarOS makes no guarantee of any immigration outcome — approval, denial, processing time, or eligibility.

2. Terms of Service

2.1 Acceptance of terms

By creating an account or using StellarOS (the "Service"), you agree to these Terms of Service and our Privacy Policy. If you do not agree, do not use the Service. If you use the Service on behalf of an organization, you represent that you are authorized to bind that organization.

2.2 Eligibility

You must be at least 18 years old and able to form a binding contract. You agree to provide accurate, current, and complete information and to keep it updated.

2.3 The Service

StellarOS provides tools to evaluate a profile against publicly described immigration criteria, surface potential opportunities, draft outreach for your review, track a self-managed pipeline, and assemble materials you may choose to share with your own attorney. Features, content, and availability may change over time.

2.4 Accounts & security

You are responsible for safeguarding your login credentials (including third-party sign-in via Google or LinkedIn) and for all activity under your account. Notify us promptly of any unauthorized use.

2.5 Your content & responsibilities

You retain ownership of the information and materials you submit ("Your Content"). You grant StellarOS a limited license to process Your Content solely to operate and improve the Service for you. You are responsible for the accuracy of Your Content and for any action you take based on the Service. You must not use the Service to create or submit false, misleading, or fraudulent evidence.

2.6 No outcome guarantee

The Service does not guarantee any result. Statistics, scores, and projections are estimates for planning only and are not promises of eligibility, approval, or timing.

2.7 Intellectual property

The Service, including its software, design, and content (excluding Your Content), is owned by StellarOS and its licensors and is protected by intellectual-property laws. You receive a limited, non-exclusive, non-transferable license to use the Service for its intended purpose.

2.8 Third-party services

The Service integrates third parties (for example, authentication, payment processing, AI model providers, email delivery, and hosting). Your use of those features may be subject to the third party's own terms. We are not responsible for third-party services.

2.9 Disclaimer of warranties

The Service is provided "as is" and "as available," without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, accuracy, and non-infringement, to the maximum extent permitted by law.

2.10 Limitation of liability

To the maximum extent permitted by law, StellarOS and its officers, employees, and partners will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss arising from immigration decisions or outcomes. Our total liability for any claim relating to the Service will not exceed the amount you paid us in the twelve months before the claim.

2.11 Indemnification

You agree to indemnify and hold StellarOS harmless from claims arising out of Your Content, your use of the Service, or your violation of these Terms or applicable law.

2.12 Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate access for violation of these Terms or to protect the Service. Sections that by their nature should survive termination will survive.

2.13 Changes; governing law; contact

We may update these Terms; material changes will be posted here with a new "last updated" date and, where appropriate, notice to you. Continued use after changes means you accept them. These Terms are governed by the laws of the jurisdiction in which StellarOS's operating entity is established, without regard to conflict-of-law rules. Questions: legal@stellaros.app.

3. Privacy Policy

3.1 Information we collect

You provide: account details (name, email, password or third-party sign-in identifier), and profile/case information you enter (field, role, publications, citations, awards, target dates, and similar). Automatically: usage and device data, log data, and cookies needed to run the Service. From third parties: basic profile and verified email from Google or LinkedIn if you choose to sign in with them.

3.2 How we use it

To provide and operate the Service (evaluate your profile, surface opportunities, draft outreach you choose to send, track your pipeline), to secure and improve the Service, to process payments, to communicate with you (including a weekly recap if enabled), and to comply with law. We do not sell your personal information.

3.3 AI processing

Some features use third-party AI/LLM providers to generate evaluations and drafts. Relevant profile content may be sent to those providers to produce your results. We work to limit what is shared to what is necessary for the feature.

3.4 Sub-processors & sharing

We share data with vendors that operate the Service on our behalf — hosting/infrastructure, database, authentication, AI providers, email delivery, and payment processing — under contracts that limit their use of your data. We may disclose information if required by law or to protect rights and safety. We never contact immigration authorities on your behalf; outbound emails are sent only by your explicit action.

3.5 Cookies

We use strictly necessary cookies (for example, your session) and limited analytics to understand and improve usage. You can control cookies through your browser; disabling necessary cookies may break sign-in.

3.6 Retention & security

We retain your data while your account is active and as needed for legitimate business and legal purposes, then delete or anonymize it. We use reasonable technical and organizational measures to protect your data; no system is perfectly secure.

3.7 Your rights

Depending on your location, you may have rights to access, correct, export, or delete your personal data, to object to or restrict certain processing, and to withdraw consent. You can delete your account and data at any time, or contact legal@stellaros.app. We honor applicable rights under laws such as the GDPR and CCPA/CPRA.

3.8 International transfers & children

Your data may be processed in countries other than yours; we use appropriate safeguards where required. The Service is not directed to children under 18, and we do not knowingly collect their data.

4. Acceptable Use

You agree not to: (a) fabricate, falsify, or misrepresent evidence or identity; (b) use the Service to harass, spam, or send unlawful communications; (c) reverse engineer, scrape, or overload the Service; (d) infringe others' rights; or (e) use the Service to provide legal advice to third parties as if from a licensed professional. We may remove content or suspend accounts that violate this policy.

5. Billing & Refunds

The Qualification Verdict tier is free. Paid plans (Builder and Operating System) are recurring subscriptions billed in advance through our third-party payment processor, which acts as merchant of record for the transaction. Prices are shown at checkout and may change with notice for future billing periods.

You can cancel anytime; access continues through the end of the current paid period and does not renew thereafter. Except where required by law, payments are non-refundable; refund requests for billing errors are handled per our payment processor's policy. For any billing question, contact legal@stellaros.app.
